With the following information, we would like to give you an overview of the processing of your personal data by GPTW Switzerland AG and your rights under the Swiss Federal Data Protection Act (FADP) and the General Data Protection Regulation (GDPR). The DPA concerns all personal data of persons residing in Switzerland, while the GDPR covers personal data of persons within the EU. For persons residing outside Switzerland and the EU, GPTW Switzerland AG undertakes to comply with the applicable laws and regulations.
Which data is processed in detail and how it is used depends largely on the services requested by your employer or agreed with GPTW Switzerland AG. Therefore, not all parts of this information will apply to you.
Who is responsible for data collection?
Conducting a Great Place To Work® survey is an order processing in accordance with Art. 9 FADP and Art. 28 GDPR, whereby GPTW Switzerland AG acts as the processor and your employer as the client. Your employer is therefore responsible for data collection.
Please ask your employer about the processing of personal data - namely whose data is processed, for what purpose this data is processed and which personal data is passed on to GPTW Switzerland AG. What personal data is collected?
Depending on which survey your employer conducts with GPTW Switzerland AG, different personal data will be collected. The survey is conducted either with the survey platform Emprising™ or OneManyAny (OMA).
It is also possible for your company to either invite you via business email or provide you with a code. If you are surveyed with Emprising™, you will recognize this by the invitation via email. This will contain the Emprising™ logo. Otherwise you will be surveyed with OMA. In the case of code surveys, you will receive information on the survey platform used from your employer.
Below is a list of the personal information that is collected in order to conduct the employee survey.

If you complete the employee survey with Emprising™, at least the following personal data will be uploaded to the tool by your employer via an employee list before the survey is started:

Please note: Answers to open questions are sent to your employer verbatim, i.e. without anonymizing names or other references that would allow conclusions to be drawn about individuals. Therefore, if you do not wish to identify yourself by writing a comment, please avoid references to your own person.
For what purposes is the collected personal data processed?
The above information will only be used to analyze the results. GPTW Switzerland AG guarantees that your personal data will be used exclusively for the employee survey.
We guarantee that the identity of all participants and their answers will be treated with absolute confidentiality under all circumstances. The evaluation is carried out in aggregated form and only if 5 or more people from a group (organizational unit, demographic group, for example the 55+ age group - see chart 2) have completed the survey. An illustration of this group principle is shown in the charts below:
Chart 1: Responses from employees in groups smaller than 5 are not lost, but are included in the next highest organizational unit.
Chart 2: For demographic data, results are only shown if at least 5 people took part in a group.
Under no circumstances will your employer receive information about individual responses. Nor will GPTW Switzerland AG provide any information about who did or did not take part in the survey.
No personal information will be collected without your knowledge and consent. Your participation is always voluntary. You have the right to cancel the survey at any time. Questions can be omitted from the questionnaire.
How long will this personal data be stored?
Emprising™
5 days after the end of the survey, the e-mail addresses or codes will be decoupled from your individual answers to the questionnaire and deleted. From this point on, only raw data will be available in the Emprising™ survey tool, i.e. no more personal data. Up to this point, only GPTW Switzerland AG knows which answers belong to which person. After decoupling the data, GPTW Switzerland AG no longer knows which answers belong to which person. Under no circumstances will your employer receive information about individual responses at any time.
OMA
E-mail addresses are decoupled from individual responses to the questionnaire once a year in March and deleted. From this point onwards, only raw data is available in the OMA survey tool, i.e. no more personal data. Up to this point, only GPTW Switzerland AG knows which answers belong to which person. After decoupling the data, GPTW Switzerland AG no longer knows which answers belong to which person.
What data is passed on to third parties and for what purposes?
Emprising™
As part of the employee survey, GPTW Switzerland AG works with third parties at various points in time. The survey platform Emprising™ is managed and offered by the subcontractor Great Place to Work® Institute, Inc. (global umbrella organization). Two application modules are used to conduct the employee survey: The Emprising™ survey platform and the Client Portal, which is the administration and management platform for surveys. If you are an administrator for the survey platform, or if you have been given access to survey results as a manager, your personal data (namely your e-mail address) will be stored on the US server managed by Great Place to Work® Institute, Inc. This storage of your personal data is necessary to provide you with access to administrate your survey and/or view your results and is administrated through the Engagement Portal.
If you participate in the survey as an employee, your personal data will be stored either on a server located in the USA or Europe (Netherlands). You can request the server location for your survey from your employer. The transmission of your personal data (see chapter "What personal data is collected?" for a list of which data is collected) is necessary for you to participate in the survey.
All servers are managed via Microsoft Azure and the transmission of the response data to the survey server is highly encrypted via AES-256 (256-bit) so that the data cannot be viewed by unauthorized persons. Eavesdropping or recording of employee responses is virtually impossible.
OMA
As part of the employee survey, GPTW Switzerland AG works with third parties at various points. The survey platform OMA is administered and offered by the subcontractor Trust Lab Limited. If you participate in the survey as an employee, your personal data will be stored on a server managed by Trust Lab Limited. The transmission of your personal data (see chapter "Which personal data is collected?" for a list of which data is collected) is necessary so that you can participate in the survey.
The questionnaire is processed online directly on a server of Trust Lab Limited with server location in Poland. All files are stored on secure, private, dedicated servers with transmissions using at least 256-bit SSL encryption. All backup files are encrypted.
